Notice of Conditions

Neither the Brecknockshire Agricultural Society, its officers or stewards shall be responsible for any accident, damage or loss however caused that may occur to any exhibitors or his servants or to any animal, article or property brought to the showground.  Entry in the show will imply acceptance of these conditions.

Rules and Regulations

 On entering this show you agree to abide by the following regulations: 
1. WELSH PONY & COB SOCIETY (WPCS) – This show is affiliated to the Welsh Pony and Cob Society. 
Animals must be entered correctly in line with the rules, detailed in the WPCS Judging and Showing Handbook which can be found on the Society website www.wpcs.uk.com or requested from the WPCS office. Failure to comply with the rules may result in the withholding of awards. 
2. BREED REGISTRATION – All entries must be registered with the WPCS and foals eligible for registration. The registration details required on the entry forms must be given in full. Those without will be returned. Registration checks will be made with the WPCS. 
3. FOALS – To be a minimum of 3 weeks of age to be eligible for entry. Dams must accompany foals into the show ring. 
4. JUDGES – The judge’s decision in all cases is final. The committee reserves the right to change or substitute judges without warning as organisational needs arise. 
5. ENTRIES – Entries will only be accepted with the correct fee. 
6. HEADWEAR – Anyone riding a horse or pony MUST wear a hard hat to comply with British Standard Specification BSI with safety harness correctly fitted and securely fastened. 
7. LIABILITIES – While the Association will take all reasonable steps to prevent accidents to persons or injury to property, neither the Association nor its officers or servants accept responsibility for any such accidents or injuries howsoever caused and whether or not involving negligence on the part of any such officers or servants. The show, its officers or servants shall not be responsible for any accident, damage or loss however that may occur to any exhibitor or his servant or to any article, animal or property brought onto the showground or while entering or leaving the showground. Each exhibitor shall be solely responsible for any loss, injury or damage that may have been done to or occasioned by, or arising from, any machinery or other article, or any animal or property exhibited by him. It is a condition of entry that each exhibitor shall indemnify and hold harmless the Show from and against all actions, suits and claims on account of such damage or injury. The Association, through its Secretary, shall have full and free right to refuse to accept any entry, to cancel any entry after being made and accepted, to refuse admission to the showground of any proposed exhibit and/or to remove or order to be removed at the risk and expense of the Owner thereof any exhibit which has been admitted to the showground. There shall be no obligation upon the Show Committee to make or offer any explanation or reason for any such action and the Show Committee shall not incur any liability in this matter. 
8. TIMETABLE – The times stated in the schedule are provisional. Every care will be undertaken to adhere to times but the Association reserves the right to change times and rings as deemed necessary. 
9. TIMES OF JUDGING – Horses may arrive at any time before the judging of classes in which they are exhibiting and may leave at any time after the judging of their classes has been completed, excepting those required to compete for Championships or Specials. 
10. COMMENTARY AND CALL UP – it is the exhibitor’s responsibility to be in the ring at the correct time for the appropriate class. 
11. EXHIBITORS – Must be ready 15 minutes before the commencement of all timed classes. We regret it will not be possible to delay any class while competitors or animals perform in another right. Every effort will be made by the organisers to assist exhibitors but late entry into any ring will be at the judge’s discretion. 
12. STALLIONS – Riders and handlers of stallions 138cms and under must have attained their 12th birthday. Riders and handlers of stallions over 138cms must have attained their 14th birthday. 
13. PARKING – All vehicles must only park in designated areas. 
14. DOGS – Dogs are welcome but MUST be kept on a lead at all times. 
15. DISEASE – No animal will be accepted onto the showground with any sign of disease as confirmed by an appointed Veterinary Surgeon. Offending animals must be removed from the showground immediately. We urge all owners to adhere to strict biosecurity protocols at all times. 
16. VACCINATIONS - The association strongly advises that all animals attending the show are vaccinated. Any animal displaying flu like symptoms will be asked to leave the showground immediately 
17. OBJECTIONS – Must be made in writing to the Show Secretary together with a £50 cash deposit within half an hour of the end of the event concerned being judged. If the objection is not upheld, the money will be forfeited. 
18. PUBLIC LIABILITY – all competitors must have their own public liability insurance. 
19. CUPS AND PRIZE MONEY: No cups or prize money will be awarded until after judging of the Supreme Championship. Cups must be signed for and returned when requested by the show committee. 
20. YOUR PERSONAL DATA: Exhibitor you will need to provide the WPCS with certain personal information relating to you. Your privacy is extremely important to WPCS, so we want you to know exactly how we will use that personal information. Important Notice to Exhibitors

The safety of the public at Agricultural Shows is a matter of paramount importance in recognition of the importance of Public Liability Insurance and the Health and Safety at Work Act 1974 with regard to all of their additions and amendments.  

In order to meet legal and insurers’ requirements, it has been necessary to introduce arrangements to segregate, as far as possible, the general public from livestock and horses.  The Society has appointed Stewards to supervise the implementation of these measures who will control the movement of people and livestock to and from different areas of the Showground.  THE DIRECTION OF THE STEWARDS MUST BE FOLLOWED AND ADHERED TO AT ALL TIMES.
It is in your own interests to comply with all instructions and to observe the procedures laid down. The Society would appreciate your full cooperation. Should any exhibitor refuse to comply with the instructions of the Stewards, the Society will have no alternative but to immediately remove that exhibitor’s entries from the Showground and all fees paid or prizes won will be forfeit.  This condition will be strictly enforced and no appeal will be entertained. You are urged to familiarise yourself with details of the routes to be taken to and from the Main Ring and the various Showing Rings and seek assistance or advice of the Stewards if you are in doubt about any aspect of this matter.

The Committee has the absolute discretion to refuse, or reject an entry without question or appeal.
The word entry shall be considered to mean any animal or object whatsoever.

THIRD PARTY LIABILITY

The Society, its officers or servants shall not be responsible for any persons whatsoever while on the Society’s premises, or while entering or leaving the same for any damages or loss, however caused, to the property of such person, or for any injury, fatal or otherwise, to any such person.  The Society, its officers or servants shall not be responsible for any accident, damage or loss, however caused, that may occur to any exhibitor or his servant, or to any animal, article or property, brought into the Showground.  Each exhibitor shall be solely responsible for loss, injury or damage that be done to, or arising from any animal, article or property exhibited or brought on to the Showground by him, and he shall indemnify and hold harmless the Society from and against all actions, suits, expenses and claims on account of, or in respect of any such damage or injury which may be so caused or occasioned.

Will exhibitors please ensure that they have their passes with them on Show Day, as no excuse can be accepted by the gate attendants and no refunds will be made.  Anyone requiring a pass out of the Showground will have their hand marked with a rubber stamp. 

ATTENTION – All Exhibitors

• Where applicable ALL CUP presentations are made under the following rules:
• On signing for all cups/trophies the recipient is accepting full responsibility for its care and return.  
  • In case of the damage or loss the recipient is deemed liable.  
  • All cups must be included in the recipient’s Householder’s Contents Insurance Policy for the duration of possession. 
  • They must be returned to the show office by no later than 15th July 2026
• All Exhibitors must insure they have adequate Public Liability Insurance and/or Employers Liability Insurance in order to exhibit at the show.  
• No livestock vehicles may exit the Showground before 4.00pm.  
• Please take part in the Grand Parade at 2.30pm.

Exhibitors allowing livestock to be handled by children under the age of 16 years must arrange their own adult supervision at all times, even if competing in a ‘Young Handler’ competition.
