Brecon County Show

The Brecon County Show is operated by the Brecknockshire Agricultural Society

By accessing this website and/or entering the Brecon County Show (as a visitor, exhibitor, or participant), you agree to adhere to the following Terms & Conditions, along with all applicable rules and regulations of the event.


Brecon County Show – Terms & Conditions

These Terms & Conditions apply to all visitors, exhibitors, competitors, and users of the Brecon County Show website. By attending the Show, entering competitions, purchasing tickets, or using the website, you agree to comply with the following terms and all associated event rules and policies.


1. General Admission & Event Conditions

Entry to the Brecon County Show is subject to compliance with all event rules, safety requirements, and venue regulations.

Show Management reserves the right to refuse admission or remove any person from the event grounds where necessary for safety, security, or operational reasons.

All attendees may be subject to security checks on entry. Prohibited items include (but are not limited to) alcohol, illegal substances, glass bottles, cans, and dangerous or restricted items.

The Brecon County Show accepts no responsibility for personal loss, injury, or damage to property, except where required by law.


2. Ticket Terms & eTickets

Tickets are issued electronically as eTickets containing a unique QR code.

By using a ticket, you agree that:

  • Tickets are valid for one entry only unless stated otherwise
  • QR codes are scanned on entry and become invalid after first use
  • Tickets must not be duplicated, shared, or resold without permission
  • Counterfeit or invalid tickets will not be accepted
  • Tickets are non-refundable and non-transferable (except where required by law)

Show Management reserves the right to refuse entry or remove ticket holders for safety, security, or operational reasons.

Lost or stolen tickets remain the responsibility of the ticket holder.


3. Purchases & Website Terms

By making a purchase through the Brecon County Show website, you agree to provide accurate personal and payment details and confirm that you are over 18 and authorised to use the payment method provided.

All orders are subject to availability, price confirmation, and acceptance by the Brecknockshire Agricultural Society.

Prices may change, and additional charges such as taxes or fees may apply. Payment is processed at the time of order, and confirmation will be issued by email. Delivery times are estimates and may vary.

All sales are final, except where items are received damaged.

The Brecknockshire Agricultural Society is not liable for any loss or damage arising from use of the website or external links. Users agree to comply with these Terms and indemnify the organisation against misuse.

We reserve the right to update or amend these Terms at any time. Continued use of the website constitutes acceptance of any changes.

4. Health, Safety & Conduct

All attendees must comply with health & safety rules and follow instructions from Show staff and security.

The Show reserves the right to carry out reasonable searches of persons and belongings.

Attendees are responsible for their own safety and personal property while on site.


5. Photography, Filming & Media

Photography and filming take place throughout the Brecon County Show.

By entering the Show, you consent to:

  • Being photographed, filmed, or recorded
  • Use of such content for promotional, marketing, and archival purposes
  • Publication across print, online, and social media platforms without compensation

If you do not wish to be included, please notify a member of staff on arrival.


6. Competitions & Entries

By entering any competition, you agree to the official Competition Rules & Timetables.

All competitors must comply with:

  • Competition rules and schedules
  • Steward and official instructions
  • Show regulations and judging procedures

All judging decisions are final.


7. Exhibitors & Trade Participants

Exhibitors must comply with all Trade Exhibitor Terms & Conditions, including:

  • Approved applications and allocated stand space
  • Trading only within designated areas
  • Health & safety and insurance requirements
  • Compliance with Show Management instructions

Failure to comply may result in removal without refund.


8. Liability & Risk

Attendance and participation are at your own risk.

The Brecknockshire Agricultural Society is not liable for loss, damage, injury, or theft, except where required by law.

All attendees and participants are responsible for their own property and wellbeing while at the Show.


9. Event Changes or Cancellation

The Show reserves the right to amend, postpone, or cancel the event due to circumstances beyond its control, including weather, safety concerns, or force majeure.

No liability is accepted for any associated costs or losses.


10. Competitions – General Agreement

By entering any competition, you confirm that:

  • You accept all Competition Rules
  • You will comply with Show instructions
  • You understand judging decisions are final
  • Failure to comply may result in disqualification

11. Updates to Terms

Brecknockshire Agricultural Society reserves the right to update these Terms & Conditions at any time. The most recent version will always apply.

 

 

Brecon County Show – Trade Exhibitors Terms & Conditions

1. Definitions

  • Show means the Brecon County Show held at Powys, Brecon, United Kingdom.
  • Application Form means the official trade stand application (online or paper) issued by Brecknockshire Agricultural Society
  • Exhibitor means any person or organisation approved to operate a trade stand at the Show.
  • Fee means all charges payable by the Exhibitor for stand space.
  • Stand Space means the allocated trade area provided to the Exhibitor.
  • Show Management means representatives of the Brecknockshire Agricultural Society responsible for the organisation and operation of the Show.

2. Applications & Acceptance

  • All trade stand applications must be submitted via the official application form or online system.
  • Submission does not guarantee acceptance or allocation of space.
  • Show Management reserves the right to accept, reject, limit, or withdraw any application at its absolute discretion.
  • If an application is not successful, payments will be refunded. No other refunds will be issued.
  • By applying, Exhibitors accept that participation is at their own risk and that the Show is not liable for any loss, including loss of profit.
  • All Exhibitors must comply with Show rules and all instructions issued by authorised personnel.

3. Trading & Goods

  • Only goods and services declared in the application may be sold or promoted.
  • Prohibited items include (but are not limited to): weapons, pellet guns, knives, balloons, water pistols, and counterfeit goods.
  • All trading must take place within the allocated stand space only.
  • Breach of these rules may result in removal from the Show without refund and seizure of goods where necessary.

4. Fees

  • Full payment is required with application.
  • Fees are outlined on the website and information pack.
  • Cancellation after acceptance is non-refundable and non-transferable.
  • Bank charges apply for non-Euro payments.
  • Additional space required by sponsors must be paid for separately.

5. Access, Setup & Opening Hours

  • TBC

6. Stand Space & Site Use

  • Stand allocation is at the discretion of Show Management.
  • Exhibitors must check in on arrival for stand allocation.
  • Vehicles are not permitted in exhibition areas during the Show.
  • All equipment must remain within allocated space.
  • Sub-letting or sharing stands is not permitted.
  • Exhibitors are responsible for leaving their area clean and undamaged.

7. Changes or Cancellation of Event

  • The Show reserves the right to amend, postpone, or cancel the event due to circumstances including weather, safety, or force majeure.
  • No liability is accepted for loss of profit or costs incurred.
  • Exhibitors are advised to have appropriate insurance cover.

8. Exhibitor Passes

  • Passes must be carried at all times.

9. Sales & Advertising

  • All sales, promotions, and advertising must remain within the allocated stand.
  • Distribution of leaflets or promotional material outside the stand is not permitted.
  • Business activity remains the responsibility of the Exhibitor.

10. Fundraising

  • Raffles, collections, or fundraising activities require prior written approval from Show Management and must comply with all relevant legislation.

11. Dismantling & Departure

  • Stands must remain open until 6pm on the final Show day.
  • All areas must be cleared and left tidy.
  • Waste must be disposed of in provided skips.
  • A €200 penalty may apply for failure to comply with cleaning requirements.

12. Health & Safety

  • Exhibitors must comply with all Health & Safety legislation and instructions from the Show Safety Officer.
  • Safe working practices must be followed at all times.

13. Insurance

  • All Exhibitors must hold Public Liability Insurance with a minimum cover of €3.5 million.
  • Proof of insurance must be submitted with the application.
  • Insurance must indemnify Brecknockshire Agricultural Society CLG and associated parties for the full event period, including setup and dismantling.
  • Entry will not be permitted without valid insurance documentation.

14. Loss & Damage

  • The Show accepts no responsibility for loss or damage to property or equipment.
  • Exhibitors are responsible for insuring their own goods and equipment.

15. Indemnity

  • Exhibitors agree to indemnify the Show against any claims, liabilities, or costs arising from their participation or negligence.

16. Liability

  • Security is provided for the overall site only.
  • Exhibitors are responsible for the security of their own stand and belongings.
  • The Show is not liable for injury, loss, or damage of any kind.

17. Breach of Terms

  • Failure to comply with these Terms may result in immediate removal from the Show without refund.

18. Documentation

  • Applications will only be processed once all required documentation is received.

19. Overall Regulations applying to Letting of Trade Space

Space for Trade Stands will be allocated by the Society on sites around the Showground and a perfectly level site cannot be guaranteed.

  1. COVER – Cover is only provided in the Rural Craft and Food Market. If the Trade Stand exhibitor intends to erect tents and marquees, allowance must be made for guy ropes in calculating space required and must be included in the frontage booked.
  2. SITE ALLOCATION - The Society by its officers or servants will allocate sites. In no case can a Trade Stand exhibitor beforehand select any particular site.
  3. FEES - The appropriate fees must accompany signed application forms to ensure the space is reserved.
  4. CLOSING DATE FOR APPLICATION – The closing date for application is 15th July but the Society reserves the right to close entries at an earlier date if fully booked.
  5. ELECTRICITY - Exhibitors requiring this service must state on the Entry Form that the connection is required. A nominal fee of £97.00 is chargeable for the right to connect to the Main Electricity Supply for outside stands and £62.00 for those stands indoors. This charge also covers the electricity consumed. Details of electrical equipment or generators have to be declared with risk assessments when applying for space.
  6. GENERATORS – A current certificate and proof of service record must be produced to the Society with the expiry date for generators stated along with a risk assessment.
  7. ARRANGING EXHIBITS - All exhibitors must be in the Showground and in the space allocated by 8.00am on Show Day. The Society would be grateful if stands are set up prior to Show Day.
  8. REFUSAL - The Society, through its Administrator or Show Directors, or their duly appointed Agents, shall have full and free right to refuse to accept any entry, to cancel any entry after being made and accepted, to refuse admission to the Show Ground of any proposed exhibit and/or to remove or order to be removed at the risk and expense of the owner, any exhibit which has been admitted to the Showground. There shall be no obligation upon the Society to make or offer any explanation or reason for any such action and the Society shall not incur any liability or responsibility in the matter.
  9. COLLECTIONS - No exhibitor shall be permitted to take any collection or sell raffle tickets, be it for Charity or not, nor distribute handbills on the Showground except on the stand space allocated to the exhibitor.
  10. FORFEITURE - Any exhibitor failing to exhibit by 8.00a.m. on show day shall forfeit the fee to the Society and the Society may reallocate the space to another exhibitor.
  11. TICKETS - Exhibitors will receive tickets and car passes as follows: Two tickets up to 6m frontage; one additional ticket for every 6m frontage thereafter. Trade Vehicle Passes will be allocated by the Administrator on the strict understanding that vehicles must be parked in the Trade Car Park as indicated on Show Day. N.B. All extra passes will be paid for at the normal admission rates.
  12. TRADE STANDS – Trading hours 8am – 6pm  Traders must NOT vacate their Trade Stands until after 6.15pm
  13. PARKING – Except while unloading, vehicles will not be allowed to park in the avenues around Trade Stands and must be removed to the areas reserved for exhibitors.
  14. MEMBERS – Members of the Society will also receive badges.
  15. CHEAPJACKS - Selling of goods by auction, shouting to attract crowds or other behaviour likely to annoy visitors is forbidden.
  16. LITTER - Stand holders are responsible for leaving their space in a clean and tidy condition. Trade Stand exhibitors are encouraged to take waste away or deposit in the waste bins that are located around the Showground. Any exhibitor who removes turf or soil or breaks the soil for purpose of erecting or fixing exhibits must restore it in a matter satisfactory to the Societies’ officers or servants within two days of Show Day.
  17. EXCAVATIONS - No excavation to be made without consent and where given exhibitors must defray cost of reinstatement.
  18. DISCLAIMER OF LIABILITY - Save for the death or personal injury caused by the negligence of the Committee, its servants or agents, the Committee will not be responsible for death, injury, diseases, damage or loss caused to any exhibitor from whatever cause, death, injury, diseases, damages or loss arises. (Save as aforesaid) the exhibitor shall indemnify the Committee against all claims, damages and expenses, whatsoever in any way arising out of the presence of the exhibitor, his servants, agents, exhibits, vehicles or equipment on the Show Ground and shall assume full responsibility therefore.
  19. PUBLIC LIABILITY & RISK ASSESSMENT - Trade Stand exhibitors are advised to insure against fire and other appropriate risks not only as regards their own property but also against any third-party claim. You must make available to the Society your Risk Assessment and evidence of your current Public Liability Insurance together with your insurance policy number.
  20. SPACE AVILABILITY - A limited number of stands are available and a full description of the items to be displayed must be entered on the form.
  21. GDPR – Names and addresses of exhibitors will be printed in the show catalogue.
  22. Acceptance of the foregoing provisions shall be a condition of entry.
